Cancellation Policy

No contracts. No cancellation fees. No tricks. Cancel your DDSFAX subscription at any time from your account dashboard. Your service continues through the end of your paid period, and you can export your data before you go.

1. How to Cancel

You can cancel your DDSFAX subscription at any time using one of these methods:

Option 1: Self-Service (Recommended)

  1. Log in to your DDSFAX account
  2. Navigate to Dashboard → Billing
  3. Click "Manage Subscription"
  4. Select "Cancel Subscription"
  5. Confirm your cancellation

Your cancellation takes effect immediately — no waiting period, no phone calls required.

Option 2: Email

Send an email to support@ddsfax.com with the subject line "Cancel Subscription" and include your account email address. We will process your cancellation within one business day and send a confirmation email.

2. What Happens When You Cancel

When you cancel your subscription:

  • Immediate: Auto-renewal is turned off. You will not be charged again.
  • Until period ends: You retain full access to all DDSFAX features — sending, receiving, inbox, contacts — through the end of your current annual billing period.
  • After period ends: Your account becomes inactive. You can still log in to view your fax history and export data for 30 days after your service period expires.
  • After 30 days: Your account and all associated data are scheduled for permanent deletion.

3. Your Fax Number

When your subscription ends:

  • Number porting out: If you want to keep your fax number and move it to another provider, contact us at support@ddsfax.com before your service period ends. We will initiate the port-out process at no charge. Number porting typically takes 2–5 business days.
  • Number release: If you do not port your number, it will be released back to the carrier pool 30 days after your service period ends. Once released, the number may be reassigned and cannot be recovered.

We strongly recommend initiating any port-out requests at least 7 business days before your service period expires to ensure a smooth transition.

4. Your Data

After cancellation, your data is handled as follows:

  • Fax content (PDFs): Available for download for 30 days after your service period ends, then permanently deleted
  • Fax transmission logs: Metadata (dates, numbers, status) retained for 7 years per HIPAA audit requirements
  • Account information: Deleted 30 days after service period ends
  • Contacts: Exportable during the 30-day post-cancellation window, then deleted
  • Audit logs: Retained per HIPAA requirements regardless of account status

5. Refund Eligibility

If you cancel within 30 days of your most recent payment, you are eligible for a full refund under our Refund Policy. After 30 days, no refund is issued, but your service continues through the end of your paid annual period.

There are no cancellation fees, early termination fees, or hidden charges of any kind.

6. Reactivation

If you change your mind:

  • During your paid period: Contact support@ddsfax.com to reverse the cancellation and resume auto-renewal. No additional charge.
  • Within 30 days after period ends: Log in and resubscribe. Your fax history and contacts will still be available. Your fax number may still be available if it has not been released.
  • After 30 days: You can create a new account, but previous data and your old fax number may no longer be available.

7. Free Trial Cancellation

If you are on the free trial (5 faxes or 15 days, whichever comes first), you do not need to cancel — the trial simply expires. No credit card is required for the trial, so you will never be charged unless you actively subscribe. Your trial account data is deleted 30 days after the trial expires.
